How Successful Leaders Manage KPIs

Last week we looked at connecting Key Performance Indicators, KPIs, with the performance of your staff. This week let’s look at how KPIs connect to leadership.


Specifically, we discussed connecting your staff’s responsibilities to your KPIs. Examples included new patients, recommended procedures, and the responsibility of tracking your KPIs.


The ability to onboard new patients or support a patient through the surgery process are critical responsibilities of your staff and their efforts and opportunities will be reflected in your KPIs. Ultimately your practice manager, is responsible for the tracking of all KPIs so if your KPIs are consistently tracked and there is little or no improvement in a particular KPI, what’s next?


Inspiring your staff to utilize KPIs to drive practice growth begins with a weekly review of KPIs during the staff meeting. Improving KPIs requires dedicating time to review and discuss the data with your staff. Collaborating with your staff and encouraging them to share their ideas drives ownership and ultimately results. Celebrate the successes and provide time for in-depth discussions about the missed opportunities.


For example, if your new patient numbers aren’t meeting your expectations, ask your staff how many messages they are picking up each morning. You may also request that your messaging service provide reports reflecting the number of calls missed. One of our clients identified clear opportunities before 9 am and after 4 pm. He partnered with his team, and they developed a rotating schedule that supports complete coverage from 8 am to 5 pm and their results have improved to double digits.


Working together with your team compels learning including managing missed goals as growth opportunities. Learning together provides everyone opportunities to grow as individuals and as a team. KPIs will identify practice growth opportunities for your practice, your staff, and yourself.


To obtain the complete value of your KPIs, utilize the data to drive engagement and ideas from your staff. When managed properly KPIs will inspire your staff to develop a growth mindset that will ensure a positive connection between staff performance, your leadership, and results.
